Can QuickBooks import PDF bank statements?
QuickBooks does not use a bank statement PDF as transaction data. Learn when to convert the PDF to reviewed CSV rows and when a native QBO file is required.
The input is a statement, not an import file
A PDF bank statement is designed for people to read. It can contain account summaries, beginning and ending balances, check images, page headers, footers, and transactions spread across multiple pages.
- Best input: the original downloaded statement PDF.
- Acceptable input: a clear scan or phone photo where the transaction table is readable.
- Risky input: cropped, rotated, dark, or password-protected pages.
Choose CSV or QBO based on the import screen
A CSV is readable, editable, and useful when QuickBooks lets the user map bank transaction columns. A native .qbo file is an OFX-based exchange file with account and transaction metadata; it is not a CSV with a different extension. Check the exact upload option shown in QuickBooks before converting the statement.
- CSV: reviewable Date, Description, and signed Amount rows
- QBO: native bank exchange structure for import screens that require it
- PDF: source document that must be converted before either workflow
When historical statements become the source
This workflow is common when bank-feed history is incomplete, an account is closed, or a bank portal no longer offers older CSV exports. Process one monthly statement at a time, verify the date range and row count, and check for duplicates before adding the next month.
Why review before import
Bank statements often include subtotals, balance rows, and multi-line descriptions. Review lets the user remove non-transaction rows and fix signs before using the CSV downstream.
Simple QuickBooks-style CSV
Date,Description,Amount 2026-04-02,ACH PAYMENT ACME SUPPLY,-128.44 2026-04-03,CLIENT DEPOSIT,2400.00 2026-04-04,MONTHLY SERVICE FEE,-12.00
Balances are useful for checking the extraction, but they usually should not be imported as transactions.
FAQ
Should the PDF become an Excel file first?
It can, but for QuickBooks the more important step is shaping the rows into a bank transaction CSV. Excel is often used as a review step before import.
Can I rename a CSV file to .qbo?
No. A QBO file has an OFX-based structure and transaction metadata. Renaming the extension does not convert a CSV into a valid QBO import file.
Does DocuRows create native .qbo files?
Not yet. The current product creates reviewable QuickBooks-ready CSV rows. Use it when your QuickBooks workflow accepts mapped CSV data or when you need clean rows for review before another import step.
Does every bank statement use the same layout?
No. Banks vary by column names, date format, credits/debits layout, and how they wrap long descriptions. That is why a review step is part of the workflow.
Can account numbers be redacted?
Yes. Redacting account numbers is usually fine as long as dates, descriptions, amounts, and transaction rows remain visible.
Turn a statement file into reviewable rows
Upload a PDF, scan, screenshot, or clear photo and review the rows before downloading CSV.
